Terms and conditions

Please, take the time to read and understand the conditions of our trips before booking your destination with HMTB Horizontes.

Booking conditions:

A non-refundable deposit of 40% of the total amount of the chosen trip is required for your reservation to be confirmed.  If your reservation is made within 60 days prior to the departure date, the full amount is paid at the time of reservation. We reserve the right to return the deposit in case some of the requirements requested for the trip are breached

A reservation is not confirmed until we have received full payment for the trip and you have received a final confirmation from us. We will send you a binding contract as soon as we have issued a booking confirmation with all the details. Upon receipt, if you believe that any detail in the reservation confirmation or any other document is incorrect, you must inform us immediately as changes cannot be made later and may limit your rights if any inaccuracies in the contract are not notified to us immediately.

Personal details

In order for us to confirm your bike trip, you must provide us with a series of information: Full name, date of birth, nationality, passport number, passport issue date and expiration date and any pre-existing medical condition that may affect your ability to complete the journey.  Your reservation cannot be confirmed without this information.

Cancellation by the client

If you decide to cancel your reservation once confirmed, you must notify us in writing.  A cancellation will only be effective when we receive a written confirmation of the cancellation.  We do not offer any refund for money paid and therefore in the event that you cancel your reservation we will retain all money paid through our cancellation fee.  We highly recommend taking out trip cancellation and interruption insurance at the time of booking that can cover cancellation costs.

If a trip is abandoned for any reason after it has started, we are not required to make any refund for unused services.  There are no exceptions to this cancellation policy, even for reasons related to weather, civil disputes, family or medical emergencies.

Cancellation by HMTB Horizontes

It is unlikely that we will have to make changes to a trip because we plan trips many months in advance but they can occur due to natural disasters, political instability, external events or if it is not feasible for us to carry out the planned itinerary as well as if it is not reached the minimum number of participants required for a particular trip. In these cases and provided that the trip has not started, the total amount of the reservation will be refunded.

Risk and responsibilities

By participating in our trips you acknowledge that the nature of a bicycle trip is adventurous and participation involves some personal risk.

You clearly recognize and understand that certain risks and dangers may occur during the course of the trip, including, but not limited to, the dangers of traveling in mountainous regions and that, by the very nature of the activities, you will be exposed to an element of personal risk. You agree to assume all risks of the trip and agree that no liability will be imposed on HMTB Horizontes with respect to death, personal injury, illness or delay in returning home, as well as any loss or damage to the participant’s property, including the bicycle or other cycling equipment, during the course of the trip.

In addition, you must be adequately fit and have an adequate technical level to carry out the itinerary established in the destination you have chosen (see technical and physical level on our website).  Therefore, you accept the risks inherent in each trip and accept as reasonable the limitations of our responsibility established in these terms and conditions. You must read and sign a form to assume all responsibilities as your own before starting the trip. This section will be part of the contract with HMTB Horizontes.

For our trips the minimum age is 18 years. In exceptional circumstances, we can let young people between 16 and 18 years old, accompanied by an adult who takes responsibility for them, join one of our trips.  This decision will be made by HMTB Horizontes.

For most of our trips we do not have a maximum age limit, although we remember that our trips can be physically demanding and a self-evaluation form is required for all clients over 60 years of age.

Medical problems

If you have any physical ailment of whatever nature it is your duty to inform us when making your reservation so that we can assess the possibility of making the trip based on your difficulties in this area, always being the final decision to make the trip from HMTB Horizontes.

We are not a company specialized in travel for the disabled, but we will do our best to satisfy any special requirements that we find related to this field.  Let us know and we will consider this on a case by case basis.  If you have any physical ailment of whatever nature it is your duty to inform us when making your reservation so that we can assess the feasibility of the trip based on your difficulties in this area.

Given the nature of our trips, you must understand that we are forced to require travel insurance for each participant. Travel insurance should provide coverage against personal accident, death, medical expenses, and emergency repatriation.  We also strongly recommend that you cover cancellation, reduction, personal liability, lost luggage and personal effects. You must provide proof of travel insurance on the first day of your trip; you won’t be able to join the journey without it.  If you choose to travel without adequate insurance coverage, we will not be liable for any losses, regardless of the insurance coverage that would otherwise have been available.  If you do not have insurance and you do not know how to get adequate cover and you would like support from Horizontes, please do get in touch with us and we will arrange it, both for you and for the rest of your group.

The nature of this type of travel requires considerable flexibility and you should allow alternatives.  The itinerary provided for each trip is representative of the types of activities considered, but it is understood that the route, schedules, itineraries, details, and mode of transportation may be subject to change without notice due to local events or circumstances.

Change of itinerary

We always do everything possible to stick to the initial plan contracted by the client but we reserve the right to change the travel itinerary for reasons beyond our control.

Our trips always are guided by a professional, certified guide. The guide’s decision is final in all matters that may affect the safety or well-being of any person participating in the trip. If a decision made by the guide is not followed, or interferes with the well-being of the group, the guide can order you to leave the trip immediately, without any right to reimbursement. In such a circumstance, when a traveler is withdrawn from the trip, HMTB_horizontes does not accept any cost for the traveler’s return to the final point of the destination.
